The dentist’s guide to Dental Presence

Use every part of your practice workspace with confidence.

This guide explains the complete dentist-facing workflow—from adding a clinic and connecting Google to improving local visibility and reviewing progress.

Never enter patient information. Dental Presence is for practice business and marketing data only. Do not add patient names, contact details, dates of birth, appointments, treatment details, medical records, photographs, or insurance information.

Quick Start: Your first useful workspace

Complete these steps in order. Accurate clinic information at the beginning makes every later recommendation more useful.
  1. 1

    Create your account

Sign up, verify your email address, and sign in to begin setting up your practice workspace.

  2. 2

    Add accurate clinic details

Enter the clinic name, website, and city. Google Business Profile details are requested only on plans that include profile workflows.

  3. 3

    Connect Google

Connect the Google account that can access your Search Console and Business Profile. Select the verified property for this clinic.

  4. 4

    Run your first audit

Audit the clinic website to create a visibility baseline and a prioritized list of issues to address.

  5. 5

    Check local map visibility

Run a Geo-Grid scan for an important treatment search around the clinic location.

  6. 6

    Work through the next actions

Use the recommendations, drafts, and reports to improve the practice presence, then repeat the audit to measure change.

Use the clinic’s exact public name and primary website. Keep the same spelling, phone number, and location format that patients see on Google.
Section 1

Dashboard

The Practice Dashboard is your central hub for the active clinic. It highlights immediate SEO opportunities, maps out critical local visibility scores, and serves as your interactive workspace checklist to keep updates on track.

SEO & AI Visibility Scores

Get an instant, high-level summary of how search engines and AI platforms view your practice's digital authority.

Action Checklist

Follow a guided list of custom tasks created directly from your audits and connected performance data.

Section 2

Clinics

Manage your dental clinics and workspaces. Each clinic's profiles, scans, audits, and marketing tasks are kept completely isolated.

Adding a Clinic

Provide your official clinic name, website, and city to begin. Check spelling carefully as clinic details define your local identity.

Clinic Replacements

If clinic details were entered incorrectly during setup, request a replacement review to keep your metrics accurate.

Section 3

SEO Audit

Analyze your clinic's website for search engine visibility issues. The tool scans your pages and returns a detailed breakdown of fixes.
  1. 1

    Select your active clinic

Ensure the clinic you want to audit is currently selected in the top bar.

  2. 2

    Trigger the audit

Start the real-time scan. This will inspect titles, metadata, page speeds, mobile layouts, and headers.

  3. 3

    Address priority findings

Sort fixes by high, medium, or low severity, and hand off technical guidelines to your web team.

Section 4

AI Intelligence

Understand search demand and view priority keyword intelligence tailored specifically for dental treatments.

Local Treatment Demand

Discover exactly how local patients are searching for dental implants, teeth whitening, clear aligners, and emergency care.

Competitor Watchlist

Add local competing dental clinics to observe general market positioning.

Section 5

Marketing

Leverage artificial intelligence to generate draft social posts, treatment guides, and patient newsletters specific to your clinic.

Content Drafts

Create fully tailored promotional content and clinical educational drafts based on the treatments you highlight in settings.

Plagiarism Checking

Verify textual data originality against published entries and advanced medical literature databases to prevent duplicate penalties.

Approval Queue

Review, edit, and manually approve drafts before publishing them to ensure total clinical and tone compliance.

Section 6

SEO Silos

Organize your clinical services into a powerful logical structure that search engines can easily understand.
A silo organizes your dental website into high-value treatment categories (e.g., Dental Implants) with structured supporting pages (e.g., Implant Care, Implants vs Bridges).
Section 7

Maps Geo-Grid

Check local map visibility from several geo-coordinates around your clinic. This lets you track rankings across neighborhoods.
  1. 1

    Define the query

Type a treatment query like 'dentist near me' or 'cosmetic dentist'.

  2. 2

    Configure scan radius

Select grid dimensions (e.g., 3x3, 5x5) and distance intervals to match your clinic's patient catchment area.

  3. 3

    Run and analyze

Observe rankings at each coordinate point. Green dots show you are in the top 3 Google Maps results.

Section 8

Local Citations

Keep your practice's Name, Address, and Phone Number (NAP) consistent across every directory listing on the web.
  • Paste a public directory URL to import listing details before saving.
  • Track up to five citation listings per clinic.
  • Add and audit listings on directories like Google, Bing, Justdial, Practo, Yelp, and local indexes.
  • Identify inconsistencies that can confuse patients and search engines.
  • Saved listing URLs are rechecked when the billing subscription renews.
  • Track listing status across live, pending, or issues requiring attention.
Section 9

Visibility Progress

Measure and compare the results of your SEO efforts over time.

Select two separate website audits—such as a baseline scan and a recent check—to compare resolved errors, score progress, and persistent technical issues.

Section 10

Reports

Generate structured performance reports summarizing search console metrics, audits, and Geo-Grid local tracking.

These reports are easily shareable with your team members or medical partners to demonstrate month-over-month visibility changes without complex exports.

Section 11

Review Guidance

Follow safe guidelines to request and respond to patient reviews.
Always prioritize patient confidentiality. Never confirm medical details, patient status, or clinical treatments in a public Google review response.
Section 12

Google Updates

Create, schedule, and publish promotional posts, clinic offers, and news updates directly to Google Maps.

Keep patients informed about holiday hours, new treatments, safety policies, or free consultations directly on your Google Business Profile.

Section 13

Settings

Configure your practice details, default clinic settings, user login details, and active billing profiles.

Complete your clinic's business address, practitioner name, telephone number, primary service categories, and payment plans.

Google connections

Open Settings and use the Google Auth step to connect Google Search Console and Google Business Profile. Authorizing Google services unlocks active performance snapshots, GBP post scheduling, and live maps tracking from the source.

Routine

A practical routine for your dental team

Consistent, small reviews are more useful than opening every tool at once. The cadence below keeps the workspace focused.
Weekly

Review new patient-search opportunities, replies awaiting approval, Google updates, listing issues, and prepared marketing drafts.

Monthly

Run a comparable map scan, review Search Console performance, generate the monthly report, and choose the next two or three improvements.

After website changes

Run a follow-up audit, compare it with the baseline, and confirm that the intended findings are resolved.

Quarterly

Review priority treatments, clinic details, the competitor watchlist, content silos, and whether the tracked searches still reflect current goals.

Troubleshooting

Troubleshooting and safe use

Most setup problems come from the wrong clinic being active, an inaccessible website, or a Google account without access to the selected property.
No clinic data appears

Check the clinic selector in the workspace header and confirm that the intended clinic is active.

The website audit cannot run

Confirm the full public URL begins with https:// and opens without a login or private network.

No Search Console property appears

Sign in with an account that has access to the clinic’s verified property, or request access from the website owner.

Map results look unexpected

Check the clinic spelling, search phrase, centre coordinates, grid size, and spacing before running the scan again.

A report has no search metrics

Import a recent Search Console snapshot before generating the next report.

A feature is unavailable

Some tools depend on your current plan or a connected Google service. The workspace will show the relevant requirement.

Still need help?

Include the clinic name, page you were using, what you expected, and the message shown on screen. Do not include passwords, access tokens, or patient information.

Email support

Three rules worth remembering

  • Keep clinic and Google property details accurate.
  • Use measured data and estimates for their stated purpose.
  • Human-review every public-facing clinical or patient communication.
